Who controls your data
Swobu Ltd is the controller for personal data we process for the SMTPReady website, licence administration and support. Swobu Ltd is company no. 17425697, with registered office at Crown House, 27 Old Gloucester Street, London, WC1N 3AX, United Kingdom. Contact: support@smtpready.com.
Website and hosting
SMTPReady's public website is hosted using Cloudflare infrastructure. Cloudflare necessarily processes ordinary network/request data needed to deliver and protect the site, such as IP address, request URL, timestamp, user agent and security/network metadata. SMTPReady currently does not run behavioural website analytics or send browser analytics events to Swobu.
Checkout and orders
Checkout is provided by Polar Software, Inc., which acts as merchant of record and authorised reseller. Polar independently processes the information needed to complete the transaction under its own privacy policy and Buyer Terms. Swobu may receive or access customer contact, order, product, entitlement, refund and transaction-status information needed to fulfil and administer the SMTPReady licence, provide support, handle disputes and meet accounting/legal obligations. Swobu does not receive your full payment-card number or card security code from the hosted Polar checkout.
Returning from checkout
The checkout return page discards incoming query and fragment state and continues to the public download page. SMTPReady does not retain checkout or customer-session identifiers, create a website customer session, or set entitlement cookies. Installer access is not gated by a website session; using the product requires Polar licence activation. No paid-order webhook or payment analytics bridge is operated for launch.
Licence activation and validation
SMTPReady communicates directly from your Windows host to Polar's public licence API for activation, validation and deactivation. Depending on the operation, the request includes the licence key, your machine name as the activation label, the Polar activation ID and Swobu's Polar organisation identifier. Polar also receives ordinary network metadata such as the source IP address when the request is made. SMTPReady does not create a MAC-address, disk, TPM or similar hardware fingerprint for this licensing flow. Licence requests do not pass through a Swobu-operated licensing server.
Product mail
SMTPReady runs on your Windows host. SMTP message bodies and attachments travel from your sender to that host and then to Microsoft 365. Swobu-operated infrastructure is not in the mail-content path, and the desktop product does not send message bodies or attachments to Swobu for analytics or telemetry.
Support
If you contact support, we process the information you choose to send so we can investigate and answer the request. SMTPReady support bundles are designed to redact message content and credential material. They can still contain operational information such as product/version data, operating-system/runtime details, configuration facts, queue health, certificate metadata and recent sanitised logs. Review a support bundle before sending it. Do not deliberately send message bodies, attachments, SMTP passwords, OAuth tokens, private keys or licence keys to support.
Why we process data
We process data where necessary to perform or administer the SMTPReady licence and support relationship; where necessary for our legitimate interests in securing the website, preventing abuse, diagnosing product problems, administering entitlements and handling disputes; and where necessary to comply with legal, tax and accounting obligations. SMTPReady currently does not use website behavioural data for advertising or marketing profiling.
Who receives data
We use service providers where needed to operate SMTPReady, including Cloudflare for website infrastructure and Polar for checkout/licensing. Polar uses its own payment and service providers as described in its privacy materials. We may also use ordinary business communications/IT providers and professional advisers, and may disclose information where law requires it. We do not sell personal data.
International transfers
Some service providers may process personal data outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we rely on the applicable adequacy regulations or contractual safeguards used for that transfer. Contact us if you need information about the safeguards relevant to data Swobu controls.
Retention
We keep personal data only for as long as reasonably necessary for the purpose for which it is processed and for applicable legal, tax, accounting, security, chargeback and dispute requirements. Order and entitlement records may need to be retained for the life of a perpetual licence and for a reasonable period afterwards so we can administer the entitlement and resolve disputes. Support correspondence and diagnostics are retained only as long as reasonably needed for support, security and claim history. Infrastructure providers apply their own operational retention periods to data they independently process.
Your rights
Depending on applicable law and the processing involved, you may have rights to access, correct, erase, restrict or object to processing of your personal data, and to receive portable data. You may contact support@smtpready.com to exercise rights relating to data controlled by Swobu. Rights relating to information Polar controls should also be directed to Polar. If UK data-protection law applies, you can complain to the Information Commissioner's Office (ICO).
Changes
We may update this notice when the product, providers or law change. The current version and its update date will remain published here. If SMTPReady later enables website analytics or adds a new material data flow, update this notice before or at the same time as that collection goes live.
